What an HOA board should ask a holiday-lighting vendor.
A community install puts crews, ladders and electrical work in shared spaces that residents use every day. These are the questions that separate a vendor who has thought that through from one who has not.
Hiring holiday lighting for a community is a different decision from hiring it for a single home. The display covers entries, trees and common areas that every resident sees; the work happens above walkways people use while it is going on; and the board answers to the whole community for the result. A short list of direct questions, asked before anyone signs, does most of the work of getting that decision right.
“Can you show us proof of insurance?”
The first question, and the one with no acceptable soft answer. Ladder work over shared walkways is exactly the situation liability coverage exists for, and a professional vendor expects the request — current certificates should arrive without hesitation. Coastline Lights is bonded and insured, and that coverage is in place before anyone sets foot on a property. A vendor who hedges here has answered a bigger question than the one you asked.
“Who exactly will be on our property?”
Community installs are large, and many vendors — ourselves included — bring in additional crews to scale up for large jobs. That is a normal and healthy answer. What matters is that the vendor says it plainly and stays accountable for everyone working under their name: one point of contact for the board, one standard for the work, whoever is on the ladder that day.
“What happens when something goes out in December?”
Every display eventually has a dark section, a failed bulb or a timer that drifts — at community scale, with more strands over more structures, it is a matter of when, not if. The question is who notices, who fixes it, and on whose schedule. With our installations, in-season maintenance is included: outages, weather damage and timer problems are ours to handle for the rest of the season. Our maintenance guide explains what that covers in detail. Whatever vendor you choose, get their answer in writing.
“How will you schedule around our community?”
An install at community scale takes real time on site, and the common areas stay in use while it happens. A prepared vendor asks about your calendar — board meetings, events, landscaping and maintenance schedules — and plans crew time and staging around residents instead of surprising them. The shape of that conversation tells you how the whole engagement will run; our guide on how commercial-scale lighting comes together walks through it from the property side.
“What happens after the season?”
Takedown is part of the job, and the answer should include when it happens and what becomes of the materials. Ask whether removal is included, who stores the lights, and what condition they come back in next year. Our takedown and storage guide covers how we handle that arc for our own installations.

Frequently asked questions
When should an HOA start talking to holiday-lighting vendors?
Before the season, while calendars are still open. Installation work compresses into a short window each fall, so a board that starts the conversation early has more choice in dates and more time to run its own approval process without rushing.
Does Coastline Lights work with HOAs?
Yes — homeowners associations are one of the client types our commercial work is built around, alongside shopping centers and municipal clients. The engagement starts with a conversation about your community and its common areas.
Who handles a light outage in the middle of the season?
With a Coastline Lights installation, we do — in-season maintenance is included, so outages, weather damage and timer problems are ours to fix for the rest of the season. Whoever your community hires, get the answer to this question in writing before the install.
